Visualize your existing file cabinets. They typically have a label on them identifying the kind of information contained in them. Any specific drawer in the cabinet has a label on it, with the drawer contents. Open the drawer and there maybe folder hangers that have a letter of the alphabet, which contain individual folders each with their own label on them. Inside the folders are many documents that pertain to the folder name or at least you expect that is what is in the folder. Often, paper-based documents get misfiled, are removed and sitting in someone's briefcase, are on someone's desk, or are just lost.
Wouldn't it be great if you could dynamically create a file cabinet, drawer, folder hanger, folder, and document structure were everything is named uniquely and automatically based upon the document being filed. If you wanted to put the document in a customer folder hanger and the hanger did not exist, it would be created and named automatically. If the file did not exist, it would be created automatically. A document would never get misfiled; it would never be removed by anyone as your entire staff could share the same document instantly across the organization without getting up to find it.
One multiple-site U.S. based manufacturer used this capability to electronically re-print past invoices using Doc-Trak. Within minutes all prior invoices were automatically created and named. In addition, they were placed into a well organized folder structure and attached back to the place of origin in SyteLine. The result -- Users had real-time access to the electronic invoices and no more need for their paper invoices and file cabinets.
