Each and every company must have a proper Secure Bin destruction program with it. Even the law requires you to have it, for example (FACTA) Fair and Accurate Credit Transactions Act states that you must divulge the required information in the customer reports. Even SOX has made it mandatory for the accounting firms to keep the records of audit work of seven years intact and if it acts otherwise then the firm has to face the penalty charges. That is why People lay emphasis on business records storage and legal records management. To their relief there are many records management services.
A decision that has to be made by the company is whether to do the destruction of records onsite or offsite. A number of people think that onsite destruction is much safer than the offsite destruction and they tend to opt the former, but it does not happens always. In case of onsite destruction, there are secured locked bins in which the documents to be inserted are stored then the onsite document destruction provider comes and takes the bin to the mobile destruction trucks where they are to be shredded for document destruction. However, the process is not fully reliable and has some loopholes.
A document destruction company helps on the destruction of records and documents. Documents are not completely secure when it is onsite destruction as they are carried to the mobile destruction truck in a bag and anyone could carry them without one’s knowledge. Archives and record management is important as well as helpful because it aids in telling what documents to be destructed and what to keep. The documents could also fall out from the bag when they are being emptied into the truck for destruction purpose. Unfortunately, there is no tracking mechanism to keep tab on the documents that are being destructed. Moreover, the company also don’t have employee to take care of this particular business and look into the mishap if any.
The security loopholes and escalating costs has made the businessmen think about the bin rotation. When it is bin rotation, there are locked bins installed through out the office at every place possible. People also try to do the management document. During the scheduled time given to the employees of document destruction firm, they come and take the locked bins carrying documents that are to be destructed. Drivers don’t possess any keys of the
Locked bins and they are not even opened until they are to be emptied at the offsite location for destruction. The shred document destruction is also quite popular among organizations.
